A customer asks for one more service
See how a small business can track the request, get approval, and make sure the work lands on the right visit and the right bill. In the example, a family with two horses at a boarding barn asks for one of them, Scout, to be clipped and blanketed for the winter.
AI can help track the request, prepare the quote, and carry approved work onto the schedule and the bill. Your team reviews the quote, and the customer's approval is saved with the job.

A horse, a lake house and a rental.
A barn, an oil company and a well company don't look alike, but their accounts do: one customer, more than one thing the business looks after. Each horse or house has its own schedule, its own history and its own bill, and an add-on belongs to one of them.
- Boarding barn
Trace clip and winter blanketing
Owner of two boarded horses: Ruby and Scout. The request is for Scout, and it rides on the clipping day visit.
How a boarding barn's waitlist works - Oil heat company
Winterize the lake house's heat
Service contract on two houses: Home in Weare and Lake house. The request is for Lake house, and it rides on the annual cleaning at the lake house visit.
How an oil boiler and baseboard heat work - Well company
Water test and UV bulb replacement
Owners of a home and a rental: Home and Rental. The request is for Rental, and it rides on the pressure tank replacement at the rental visit.
How well water treatment works
"Can you" isn't a yes.
Customers ask what something would cost, and offices hear a request to do it. A quote that names the horse or house, and a written yes saved on the ticket, settle both the work and the bill before anyone drives out.
If it's not on the ticket, it doesn't happen.
The tech or groom on site works from the ticket, not from the conversation in the office. An approved add-on has to be written onto the next ticket for that horse or house, with what to bring.
Three ways an add-on goes wrong.
The same three gaps show up at a barn, an oil company and a well company. Pick one to run it without the check, then with it.
Billed to the wrong horse or house
"We said the lake house, not our home."
The add-on goes on the first horse or house on the account. The work follows it there, and so does the bill.
The check: Attach the add-on to the horse or house named in the request, and repeat it back in the quote so the customer can catch a mistake.
No approval
"I asked what it would cost. I didn't say go ahead."
The customer asked a question and the office heard a yes. The work gets done, and the customer finds out from the bill.
The check: Nothing goes on the calendar until the customer says yes to the quote in writing, and the yes is saved on the ticket.
Tech on site without the add-on
"Nobody told me about that. It wasn't on my ticket."
The add-on is approved and on the calendar, but the ticket is printed from the routine job. The tech does the routine job and leaves.
The check: An approved add-on is written onto the next ticket for that horse or house, with the parts, before the visit.
Where AI helps the office.
Add-ons are small jobs with a lot of steps, and each step is a chance to drop them. An AI assistant can carry one from the text message to the invoice, while the office signs off on the quote and the customer's yes is saved with the job.
Requests that land on the right record
An AI assistant reads the request, finds the horse or house it names, drafts the quote from your price list, and asks when it isn't sure which one the customer means.
Custom AI agentsThe ticket and the bill, kept in step
Once the customer says yes, the add-on goes onto the next visit and its ticket in your scheduling software, even when that software is a website with no API.
Grok Bot setupYour team, trained on the same steps
The people answering the phone learn to read a request back, name the horse or house in every quote and wait for a written yes, with or without an AI assistant.
AI Cowork training
This page shows a simplified add-on request for learning. The businesses, the customers, the horses and the houses are made up, and it isn't a policy for any particular company.
