# A Shared AI Workspace for a Small NH Business

T10 Consulting October 16, 2026 4 min read

Take a three-person office at a property management company in Nashua. The dispatcher, the bookkeeper and the owner each keep their own ChatGPT or Claude tab open, and all three have pasted the same background about the same tenants and the same vendors. Each one gets a decent answer, copies it into an email, and closes the tab. The context goes with it.

That is how most AI gets used today. It is personal, and it forgets. A post from Santiago (@svpino) walking through a product called [Kylon](https://kylon.io) got us thinking about the alternative, which it calls a “company harness.”

## What a shared workspace changes

The idea is one workspace where the team and the AI agents work in the same rooms. An agent is a member of the team with a name, a role, its own memory and only the permissions it has been given. People and agents read the same threads and pick up where the last one left off.

From Kylon’s own site: rooms are shared by people and agents. Each agent starts private, with no rooms and only its creator, and an admin decides who can reach it and which rooms it joins. You can bring agents you already use (it names Claude Code, Codex and Devin) or create ones hosted there. Agents can build internal tools, dashboards and workflows that run on a schedule or on request.

We haven’t run it for a client yet. It is an early product in a new category, and we’d treat it that way.

## Why a small shop feels the re-explaining first

In a 5 to 25 person business, the same ten customers, jobs or properties come up all week. If the bookkeeper explains a tenant’s payment history to an AI on Monday, the dispatcher explains it again on Tuesday. Say each person loses an hour a week to this. Across a team of eight, that is a full working day of pasting.

The cost is bigger than time. Three people end up with three slightly different versions of the story, and nobody can see what the others asked.

## What shared context is good for

- **The history stays with the work.** The thread about a furnace replacement holds the quote request, the photos and the follow-up, in one place.
- **An agent can pick up a thread a person started.** The dispatcher begins a scheduling question, goes out on a call, and the agent keeps going from what is already written.
- **A new hire reads the room instead of asking around.** Two weeks of context is there on day one, without pulling the owner off a job.

Agents act through connections an admin authorized, such as email, calendar, spreadsheets or a CRM. Kylon lists more than 3,000 integrations, naming Gmail, Slack, Notion, HubSpot, Linear, GitHub, Salesforce, Stripe and Shopify. Nobody pastes a password into a chat, and emails and documents come back as drafts for review.

## Permissions are the whole game

A shared workspace is only as safe as the access you hand out. Before anything is turned on, decide:

1. Which rooms each agent joins.
2. Which accounts each agent can reach, and whether read-only is enough.
3. Who is the admin, and who can change those settings.

**Anything that sends, pays, promises or commits gets an approval step.** Write the rule in one sentence, for example: “The agent drafts; a person sends anything that goes outside the company or touches money.” Then everyone in the room can see what was asked, what the agent did and what is waiting for approval.

### Read the vendor’s data terms

Ask which plan guarantees your content isn’t used for training. Ask where the compliance audits stand. Kylon lists its SOC 2 Type II and ISO 27001 audits as in progress, which is worth knowing before tenant or customer records go in. If the answer is not clear in writing, keep sensitive work out until it is. For some businesses, [private hosting](https://t10.net/services/private-gpu-hosting/) is the better fit.

## The method matters more than the product

This is close to what we do with [Grok Bot](https://t10.net/services/grok-bot-setup/): AI teammates that work inside the tools your business already uses. Whichever product you pick, the steps are the same.

First, map the job. Our [workflow mapping tool](https://t10.net/tools/workmap/) is how we do that on a discovery call, and [Map One Job Before You Buy Any AI Tool](https://t10.net/blog/map-one-workflow-before-buying-ai-tool/) walks through it. Second, have a one-page policy on what goes into AI and what doesn’t. We wrote about that in [What Not to Paste Into ChatGPT](https://t10.net/blog/one-page-ai-policy-nh-small-business/). A shared workspace makes both more important, because more people and more records are in one place.

## A small first step

Pick one shared, recurring job. Good candidates are the invoice inbox, or the “where is this job at” questions that come in by phone and email.

- Give one agent one room.
- Give it read-only access to the accounts it needs, nothing else.
- Run it for two weeks.
- Have one person review everything it drafts, and keep a short note of what they changed.

At the end of two weeks you will know whether the agent saves the re-explaining, and where it needed correcting. Widen access only after that.

If you want help choosing the job and drawing the permission lines, [book a planning call](https://t10.net/#book) and we’ll go through it in 30 minutes, free.
